Title: Executive Assistant – Investment Group

Overview:

The McNair Group, the family office of the Robert C. McNair family, is seeking an Executive Assistant to support its Investment Group.  The Investment Group consists of four executives who analyze, consummate and monitor the investments of the McNair family in conjunction with the rest of The McNair Group team.  The ideal candidate will consistently exhibit high attention to detail, strong organizational skills, a proactive mentality and professional demeanor, with the ability to work effectively in a dynamic, family office setting.

FLSA Status: Non-exempt

Department:  Investments

Reports to:  Senior Vice Presidents (2), Vice President, and Associate General Counsel

Education:

  • Bachelor’s degree from a four-year accredited college or university preferred.
  • Minimum three (3) years of administrative work experience required.

Skills Required:

  • Ability to manage and prioritize diverse tasks for multiple direct reports.  
  • Strong organizational skills.
  • Ability to consistently produce accurate work product and maintain attention to detail.
  • Proactive and take-charge mentality in performing duties.
  • Strong interpersonal relationship skills and the ability to work effectively in a dynamic, family office setting.
  • Effective verbal and written communications skills.
  • Proficiency in Microsoft Office software applications.
  • Professional demeanor.
  • Ability to maintain confidential and/or proprietary information.

Basic Function: Provide all aspects of administrative support to Investment Group staff.

Responsibilities:

  • Assist in the drafting and revising of various documents, including proofreading work for accuracy.
  • Maintain electronic and hard copy files at both individual executive and departmental levels.
  • Organize and submit expense reports of Investment Group staff.
  • Draft and distribute Investment Committee notes and materials to designated parties.
  • Make all travel arrangements as required for executive business travel.
  • Work with other McNair Group departments by coordinating meetings, locating files, providing requested documentation, etc.
  • Greet guests attending meetings in a professional manner.
  • Perform various other tasks as may be assigned from time to time by Investment Group staff members.

Job Title:  Senior Accountant

Department:  Accounting

Reports to:  Director of Accounting

Education/Experience:

  • Bachelor’s degree in accounting from a four year accredited college or university required.
  • Minimum of four to five (4-5) years related experience in accounting/finance environment required.

Basic Function:

  • Responsible for general ledger functions and accountability, financial reporting and financial profitability analyses.
  • Perform various accounting functions including research and analysis for variances, payables, receivables, collections, general ledger entries and reconciliations across all accounts.
  • Perform special project analyses as required and participate in developing and producing various financial reports.

Skills Required:

  • Thorough understanding and working knowledge of all Generally Accepted Accounting Principles (GAAP) and procedures required.
  • Strong accounting, quantitative and analytical skills.
  • Exhibit working knowledge of all general ledger functions and balancing intercompany accounts by verifying, allocating posting, reconciling transactions and resolving discrepancies.
  • Ability to create financial accounting statements, reports and records by collecting, analyzing and summarizing account information.
  • Ability to exhibit high-level financial report writing skills in both Excel and FRx software applications.  Ability and working knowledge of SQL report writing a plus.
  • Intermediate to advanced working knowledge of major accounting software applications such as Microsoft Great Plains.
  • Strong organization and time management skills with ability to prioritize and manage multiple projects and/or tasks.
  • Excellent attention to detail and an ability to produce high-quality, accurate work in a deadline driven environment.
  • Strong interpersonal skills and the ability to create and maintain solid working relationships across the organization.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team and take on new tasks with higher level of difficulty.
  • Ability to work with minimal up-front guidance and to take ownership of own work product.
  • Ability to maintain confidential and/or proprietary information.
  • Ability and internal drive to demonstrate a winning attitude and a strong work ethic in the performance of all job responsibilities.

Job Function (duties and responsibilities):

  • Conduct monthly general ledger account reconciliations.
  • Process capital expenditures and reconcile the fixed asset module.
  • Contribute to the budgeting and forecasting processes and preparation of budget-to-actual variance reports. 
  • Verify, allocate, post and reconcile accounts payable and receivable.
  • Participate in monthly and year-end close processes by recording entries required for analyzing and summarizing information for financial reporting purposes.
  • Participate in annual external audits by completing requested materials and assist in preparation of assigned schedules for annual audits.
  • Perform as back-up for general accountant position including processing of accounts payable, accounts receivable and purchase card processing.
  • Conform with and abide by all regulatory guidance and internal policies and procedures.
  • Document policies, procedures and workflow for assigned areas of responsibility.
  • Perform various other tasks as may be assigned from time to time by the Director of Accounting or the Vice President, Risk Management and Controller.
  • Position requires face-to-face personal interaction with staff, peers and other personnel; therefore, job responsibilities must be physically performed in TMG offices and not in a telecommuting manner.
